Working with tasks

Add, open, edit, complete and delete tasks, and read the task lists that most views are built from.

Most views show tasks as lists: Inbox, Today, Upcoming, and the pages of each area and project. The lists work the same way everywhere.

Add a task

  • Press C anywhere, outside a text field, or select the pen button next to Search in the sidebar. On a project's or an area's page, quick add starts in that project or area; elsewhere it starts empty, and without an area, project or @project, the task goes to the Inbox.
  • Select New task in a list's header (on the Inbox, Today, and the area and project pages). The task goes where the list is: a project list adds it to the project, Today plans it for today.
  • Select the + at the right of a group's header. On Today and Upcoming, the task is planned for that group's day.
  • Click a day in the calendar or on the timeline. The task is planned for that day; on the timeline, a project's or an area's row also puts it in that project or area.

See Quick add for what can be typed in one line.

Read a task list

A list's header shows its name, a short summary, such as the area key and the number of open tasks, and New task. Tasks are grouped: by status on the Inbox and the area and project pages, by date on Today and Upcoming. Select a group's name to collapse or expand it; the Done and Canceled groups start collapsed.

Display, next to New task on the Inbox, Today and the area and project pages, changes how the list is laid out:

  • Group by: the page's own groups (Status, or Section on Today), or Label. By label, a task shows under each of its labels, and tasks without one are under No label at the end.
  • Order by: Priority (the page's own order), Label (by each task's first label, A to Z), Due date (soonest first), Title, or Newest first. Tasks without a label or a due date come last.

The button shows what you chose, and Reset goes back to the page's own layout. The choice is kept in this browser and applies to every task list.

Each row shows, from left to right:

PartMeaning
Priority iconAn exclamation mark for Urgent; three, two or one lit bars for High, Medium and Low; three faint bars for no priority.
KeySuch as WRK-12.
Status iconClick it to mark the task done, or to set a finished task back to Todo.
TitleClick it to open the task's details.
SessionClaude Code running while a session works on the task, and Session finished with a navy dot when it waits for review. While it runs, a navy dot with Waiting for you, Asks your permission, Has a question or Paused: usage limit when its agent waits for you; hover over it for the agent's words. See When the agent waits for you.
LabelsThe first two labels.
DeadlineThe due date, red when overdue. See Due and planned dates.

An empty list says so, for example Your inbox is clear, with a reminder that C adds a task anywhere.

Open and edit a task

Click a task's title to open the details panel on the right. It shows and edits everything about the task: title, description, status, priority, dates, estimate, area, project, who does it, labels, the agent session, sub-tasks and the task's activity. Select ×, click the task's title again, or press Esc outside a text field to close it. See The task details panel.

A task's link opens its list with the task selected, for example from the command menu or from Open task in Sessions.

Complete a task

Click the status icon in the row, or set Status to Done in the details panel. A task that an agent worked on waits in In review until you check the result and mark it done. See Review finished work.

Delete a task

Select the trash button in the details panel and confirm. Deleting also removes the task's sub-tasks, session records and dependencies, and can't be undone; setting the status to Canceled keeps a record instead.
