Planning and work hours
How deadlines, planned days, priorities, estimates, activities and work hours come together into a plan, and where to see it.
PacedMind plans from what the tasks already say. There's no separate schedule to maintain: the auto-planner turns the tasks' dates, priorities and estimates into suggested focus blocks inside your work hours, around your calendar activities.
The inputs
| Input | Role in the plan | Set in |
|---|---|---|
| Due date | Overdue tasks come first, then the earliest deadlines. | Task details, quick add, calendar, timeline |
| Planned date | A task isn't placed before its planned day. | Task details, calendar, timeline |
| Priority | Breaks ties; Urgent and High tasks are planned even without a date. | Task details, quick add |
| Estimate | How much time the task gets. | Task details, quick add |
| Done by | Only your tasks are planned; agents' tasks get a check block after they finish. | Task details, quick add |
| Activities | Busy time, kept free with a margin. | Quick add, a click on the activity, agents |
| Work hours, break and work days | The time the plan may use. | Settings → Planning |
Where the plan shows
- Calendar: week: the focus blocks in the grid, and the Auto-plan panel with notes, the hours per area and what didn't fit.
- Timeline: the Your time row, with the planned hours per day.
- Agents:
get_agendalists each day's activities, deadlines, planned tasks and focus blocks, with the free time left.
Change the plan
Focus blocks follow the tasks. To change them:
- put a task at a time: drag it onto an hour in the week view, from the Tasks list or as its focus block. It stays there, and the plan works around it;
- move a task to another day: set its Start, or drag it in the calendar or on the timeline;
- change its priority or its estimate;
- hand it to an agent, or mark it as yours;
- add an activity to block time, or change the work hours.
The week view recomputes the plan every time it loads; Replan the week does it on demand.
Plan with an agent
The pacedmind-planning skill plans a day or a week in conversation: it reads your preferences and the agenda, proposes what to do when, and moves only what you agree to. It also handles requests such as move X to Friday, clear my afternoon or I'm sick today. See Agent skills.
The auto-planner doesn't read your preferences; agents do. Tell them when you do deep work or take meetings, or which days you keep free, in Settings → How you work, and they plan by it. See How you work.

The auto-planner
