Calendar activities

Fixed calendar entries such as meetings, workouts and appointments, one-off or weekly; how to add them, where they show, and how to change them.

An activity is a fixed entry in the calendar: a meeting, a workout, an appointment. Unlike a task, it has a start and an end time and nothing to check off. Activities can belong to an area, which gives them its color.

An activity happens once, or every week on the same weekday and at the same time, from its first day on. Activities are meant to fit within one day: agents can't create one that runs past midnight, and a change can't move one past it.

Add an activity

  1. Open quick add: press C. On Today, when the day already has activities, the + on the Schedule group opens it in activity mode directly.
  2. Switch to Activity at the top right of the dialog.
  3. Type the title with the day, time, length and repetition, for example Climbing with Tomek friday 18:00 for 2h every week.
  4. Check the chips below the title and adjust them if needed:
    • When: the start day and time. A time typed in the title takes precedence over this chip. A day alone isn't enough: with no time anywhere, the activity starts now, and the summary line says Starts now; a day picked here without a time starts at 00:00. Quick add opened for a day, from a click on a day in the calendar, say, fills this chip in with that day instead: see Quick add.
    • The length: 15, 30, 45, 60, 90, 120 or 180 minutes. The default is 60 minutes.
    • Does not repeat or Every week.
    • The area, in the chip at the top left.
  5. Select Add to calendar, or press Enter.

Quick add reads for 45m, for 1.5 hours and for 2h as the length, and every week, weekly or each week as a weekly repetition. See Quick add.

Where activities show

ViewHow
TodayThe Schedule group, lined up with the tasks below it: the start time where a task's key is, then a circle, the title, the area and how long it lasts (hover it for the time range). Click the circle to mark the activity done, before, during or after it; click it again to undo. A weekly activity is marked done for that day only. Done activities are crossed out, the one in progress is marked Now, and past ones are faded. Click the title to change or delete the activity.
UpcomingUnder each day of the next 14 days. Deadlines only hides them.
Calendar, monthA line with the area's dot and the start time. The Activities filter hides them.
Calendar, weekBlocks in the grid, shown as Fixed in the legend.
Agentslist_events and get_agenda list them, with their event ids.

A click on an activity in any of these views opens it: see Change or remove an activity.

Activities and the auto-planner

The auto-planner treats activities as busy time. It keeps each activity, plus 10 minutes before and after it, free of focus blocks, and plans tasks only in the gaps that remain inside the work hours. See The auto-planner.

Change or remove an activity

  1. Click the activity in Today, Upcoming or the Calendar. A dialog opens with the day that was clicked.
  2. Change what's needed:
    • the title;
    • the area, in the chip at the top left;
    • the day and start time, in the chip with the date;
    • the length: 15, 30, 45, 60, 90, 120 or 180 minutes, or the activity's own length when it's another one;
    • Every week or Does not repeat.
  3. Select Save, or press Enter in the title.

The line above the buttons sums up the result. A weekly activity changes every week, and the line adds Changes apply to every week:

  • moved to another day, the whole series moves to that weekday, by as many days;
  • switched to Does not repeat, it stays only on the day in the date chip, and the line warns The other weeks will be removed.

An activity starts and ends on the same day. A start and length that run past midnight aren't saved: That runs past midnight. An activity starts and ends on the same day.

Delete removes the activity after a confirmation. For a weekly activity, every week's occurrence goes.

Agents connected over MCP can change activities too, for example:

  • Move the dentist appointment to Thursday at the same time.
  • Make the weekly gym on Monday start at 07:00.
  • Delete the Spanish class on Wednesday.
  • I'm sick today; move today's plans to tomorrow.

The agent uses these tools:

ToolPurpose
update_eventRename, change the area, move the activity (to a new start, to another day at the same time, or by days or minutes), change its length, or turn weekly repetition on or off.
delete_eventRemove the activity. For a weekly activity, this removes every occurrence.
reschedule_dayMove one day's one-off activities (and planned tasks) to another day. Weekly activities stay where they are.

Moving a weekly activity moves the whole series. See Calendar tools and Connect Claude Code.
